About the position:

The Executive Assistant - Principal’s Office supports the work of the Principal and the school administration of Junipero Serra High School in order to achieve the fullest attainment of the school’s unique Catholic mission: educating men of faith, wisdom, service, community and leadership. The Executive Assistant is appointed and is delegated authority by the Principal and is responsible for a wide range of administrative duties in direct executive-level support of the Office of the Principal including many confidential and time-sensitive matters. This also includes support to the Assistant Principals and other school administrators in the ongoing administration of the internal operations of Serra High School. The Executive Assistant/Office Manager serves as convener of the Front Office Staff for organization of workflow and coordination of schedules. As a team member of the Principal’s Office staff, the Executive Assistant provides the highest quality of clerical services while collaborating closely with other support personnel and establishing appropriate and professional interactions with the students, faculty, staff, parents and the general public.

Primary Responsibilities:

Executive Assistant
  • Provides direct assistance to the Principal to help organize the work of the Principal’s office
  • Follow up on tasks delegated by the Principal.
  • Coordinates job candidate interviews.
  • Serves as a liaison with students and parents to the Principal.
  • Prepares, distributes and posts The Week Ahead to the Serra Info website
  • Assists the Human Resources Director with employee fingerprinting and record keeping for compliance with the Virtus program.
  • Handles confidential and time-sensitive tasks for the Principal exercising professional discretion
  • Manages all aspects of the annual graduation ceremony working with the Principal, student leaders, external vendors and others. This includes, but not limited to: ordering and distribution of all the graduation materials including the script, awards, seating coordination, program, ordering diplomas, and graduation announcements.
Office Manager
  • Manages and oversees attendance
  • Convenes regular Principal’s Office staff meetings for coordination of schedules, concerns, information, and professional development at the direction of the Principal.
  • Works with the Director of Human Resources on interviewing, hiring and training the Front Office Staff.
  • Supervises the Front Office Staff and prepares annual performance evaluations.
  • Works with Front Office staff members to define annual goals and prepare career development plans in conjunction with the performance appraisal process for support personnel.
  • Helps the staff with activities as a team member.
  • Works as a team member to assure that overall Principal’s Office goals and timelines are met.

Qualifications:

  • Bachelor’s Degree preferred
  • Minimum of five years experience supporting senior executives
  • Minimum of three years experience managing employees 
  • Proficiency with Google Suite (Docs, Drive, Calendar)
  • Strong written and verbal communication skills
  • Strong interpersonal and problem-solving skills
  • Professionalism and ability to keep confidences
  • Ability to work in a fast-paced environment with organizational, time-management and prioritization skills
  • Must be exceptionally resourceful and proactive in managing various assignments/projects
  • Flexible and willing to and work extended hours according to work requirements
  • Strong working relationships/partnerships and team-building with peers and others
Salary:  Commensurate with experience
